Volunteering Policy

2024-2025 Volunteer Commitment

The 2024-2025 season volunteer requirement is a total of 12 hours per family. Six (6) of these allotted hours MUST be completed at ERYHA Sponsored Tournament and/or District 10 Playoff Tournament*. Six (6) hours can be completed at tryouts, fundraising, SKATE banquet, etc. (see volunteer positions for a complete list and additional guidelines)

Each family has the option to "buyout" from their 2024-2025 volunteer requirement. This must be decided early in the season to ensure the volunteer hours can be distributed evenly to all families. Buyout must be completed at registration or prior to December 31, 2024 to be billed at the rate of $600.

Families that do not complete their entire 12-hour volunteer requirements for the 2024-2025 season and do not pay the buyout prior to December 31, 2024 will be billed $1,200 via ERYHA Invoice.  Volunteer hours will not be pro-rated if full amount is not complete.  All account balances must be paid prior to registering for the following season.  

If you wish to buy-out of the volunteer hours, please select the volunteer buy-out option when registering for the 2024-2025 hockey season. You will have the option to submit the payment of $600 on the registration site. If you indicated that you will complete your volunteer hours and do not complete your hours, you will be accessed $1,200.00 buy out after the season. 

Sponsorship: If you are a Platinum level sponsor, ALL of your volunteer hours are waived.  If you are a Gold level sponsor, half of your volunteer hours are waived.

Volunteer hours will be posted and tracked via the ERYHA website on the volunteer page (Dibs). Our online volunteer system is called "Dibs", and you will be able to sign up for and track your volunteer hours on this tool. Please keep all your volunteer hours under one "member" account. It is the duty of each family to validate the accuracy of your family account information, hours pending and hours performed.

If you complete volunteer hours that are not posted on Dibs, please have the level director or board member message the Volunteer Coordinator with the task that was completed, dates, times, and hours completed. Please note: Completing tasks for level directors/board members does not guarantee approval of hours, final approval of non-dibs items are at the discretion of the volunteer coordinator(s).  (If you are asked by your player's coach to help "On Ice," and you are not an elected coach, these hours will NOT go towards your volunteer requirement.  Additionally, assisting "On Ice" with pre-season skates does not fulfill contribute towards meeting your volunteer requirement. This is the same for manager assigned team duties including locker room monitor, clock running, penalty box assistant, etc.).

If your family signed up for hours you need to cancel, you may do so via the ‘Dibs’ tool based on the cancellation policy noted on each volunteer event. Without the proper advance cancellation, you will be responsible to find a replacement and notify the Volunteer Coordinator of the change. If you cancel without the proper notice, as noted on the volunteer event, and the Volunteer Coordinator covers the hours, you may be charged $50 per shift not cancelled within the cancellation window. If you are a “no-show” for your shift, you will be charged a $50 fee (per shift as a no-show). Volunteers need to be a minimum of 18 years of age.  No minors will be allowed on benches/penalty box area while a parent/guardian is volunteering.

PLEASE NOTE: If positions remain unfilled you may be moved to cover open critical positions.  Ex: open clock, you may be moved from check in or penalty box to cover this shift.
