ERYHA VOLUNTEER DEFINITION

VOLUNTEER POLICY GUIDELINE

ERYHA depends on the volunteerism of our members and it is critical that we all share in the commitment to the success of our association.

The Elk River Youth Hockey Association requires each family to fulfill a certain number of volunteer hours each year as defined by the ERYHA Board of Directors. This volunteer requirement is necessary for the Association to function as well as to fulfill district and regional obligations. It is the ERYHA Board’s responsibility to ensure that volunteer opportunities exist to enable each family to fulfill their obligation.

This season's requirement is to volunteer a total of 15 hours per family. Five (5) of these allotted hours are to be completed at an ERYHA tournament/jamboree and/or District 10 Playoff Tournament. One (1) hour is given upon completion of mandatory coaches’ evaluation.  A deposit check postdated to April 1 is required upon registration.  If volunteer hours are not completed within the requirements, the check will be cashed; if hours are complete, your check will be shredded. 

Volunteer hours will be posted and tracked via the ERYHA website on the Volunteer page.   Families will be required to create a family account which will be used to sign up for and track their volunteer hour requirement.   It is the duty of each family to validate the accuracy of your family account information, hours pending and hours performed.

Please show up 10 to 15 minutes ahead of your shift which will allow time for you to check in along with the possibility if your event is running early.

If your family signed up for hours you need to cancel, a three (3) day advanced notice must be given to the Volunteer Coordinator.  The Volunteer Coordinator will remove the shift from your family account.  Without a three (3) day advance notice, you will be responsible to find a replacement and notify the Volunteer Coordinator of the change.  If you are a "no-show" for your shift, you will be charged a $25 fee (per shift as a no-show).

*Clock, Scorekeeper and Penalty Box (minor team official duties) are team responsibilities and do not apply towards volunteer hours. No parents are exempt from these duties (except that team’s coaches)—team managers will assign duties by family and hand out a schedule.  If you are unable to perform duties, you are responsible for swapping dates/duties with other team families and notifying the team manager of the change.

What do I have to do in each of the volunteer jobs?

Who can volunteer?

Any family member 18 years of age, or older. No exceptions.

Can I buy out my family’s volunteer hours?

You have the option to buy out your volunteer hours if you choose. You must submit your buyout payment with your registration form and notify Volunteer Coordinator that you are exercising your option to buy out your required hours for the season. You will be submitting a check written out to ERYHA for the amount designated for the season buyout and this check will be cashed by 4/1/2010.

What is the cost of the buyout?  For the 2009-2010 season, buyout amount is $250. 

What if we don’t fulfill all of our family’s volunteer hours?  Your deposit check will be cashed after 4/1/2010.  You are responsible for your family’s hour balance.  You must complete all 15 hours for your check to be shredded.

What if my family works more than 15 hours; can we carry them over to next season? Hours cannot be carried over.  There are more hours needed to have volunteers work than the number of hours required by all families in our association.

What if I have to cancel time I signed up to volunteer? You must contact the Volunteer Coordinator to remove the hours from your family account.  Please note that you must give the Volunteer Coordinator a three (3) day advance notice.

THE GOAL OF THE VOLUNTEER POLICY IS TO DISTRIBUTE THE WORKLOAD AMONG ALL THE ELK RIVER YOUTH HOCKEY ASSOCIATION FAMILIES.

 

EACH FAMILY MUST COMPLETE 15 HOURS OF VOLUNTEER TIME.  YOU WILL NEED A PIN NUMBER TO REGISTER AND RECEIVE CREDIT FOR VOLUNTEER HOURS.   ONCE VERIFICATION OF VOLUNTEERING HAS BEEN RECEIVED, YOUR FAMILY'S ACCOUNT WILL BE CREDITED FOR HOURS PERFORMED AND THE SYSTEM WILL DISPLAY THE BALANCE REMAINING.   If you do not register, hours cannot be credited.

    Each family will be assigned one Pin Number that they will use for as many years as they have players playing for the association. Once you have requested a Pin Number, and one has been assigned, you cannot be assigned another number. If you have previously been assigned a Pin Number, and have forgotten that number, Click Here to have your Pin Number emailed to you. If you still need a Pin Number, and one has not yet been assigned to your family, Click Here and complete the form to request a Pin Number. Please note that you must have an email address to submit a Pin Number.

To Volunteer for a Tournament or Scheduled Event:

  1. Select the desired Event from the drop-down box.
  2. Enter your Family Last name and your Pin Number.
  3. Click the Request Opportunities button. This displays all posted volunteer positions for the selected tournament.
  4. Find the position, date and time for which you want to volunteer. Click on Volunteer?.
  5. Adjust your name if required and click on Submit Request.
  6. You will receive a confirming email that will contain the details of the opportunity you are now committed to.
