Mike, I am looking at using the online feature this year. We will need to change our website to be able to handle at least 5 payments.  Here are my questions:

If we get mailed checks, I am able to go into the family’s record and update with that info so they can see where they are at?

Can the family see their balance at any given time by logging in with their pin?

Are the fees for PayPal still the same?

How does the link to USA Hockey work? We have everyone going there to register prior to registering with us.

Is there a fee for the new registration module?

We are given CyberSport for our database tracking mechanism.  Is the website compatible? I am wondering how I will get the info entered into CyberSport.

Here are some answers:

1. Your website currently handles 4 payments.  No problem adding a fifth.

2. Yes, the registration module can handle check payments.  You then log in and add the payment to the family and tag the player as paid.  You can also accept paper registration and then log into the website to register the player so that the player info is there.

3. Yes, families can log in to see their registration status along with their volunteer status.  I don't recall that we have all future payments listed via the primary link, but that can pretty easily be added for you.

4. Yes, I believe PayPal fees are the same.  Recall that PayPal requires manual reconciliation.  A full gateway is fully automated.  Therefore, PayPal costs a bit less, but you have to do the work manually to deal with the funds.  A gateway costs a bit more, but there is little to no work to do on your end.

5. If you use the process of having parents register separately with USA Hockey, we build that right into your process and walk the parent through the effort required with USA Hockey and then your association.  The USA Hockey confirmation number ties the two together.  See number 7 below for a bit more info.

6. No, there is no additional fee other than credit card fees for the new registration module.

7. Given the process in number 5, to interface to CyberSport, you simply export the USA Hockey confirmation numbers for registered players and then import them to CyberSport.  It's just those confirmation numbers that get transmitted since USA Hockey also has a database of player data.  This makes it especially easy for registrars.

Thanks for the info. I need to get the website set up for registration starting around the 10th of August. can you help me? Not very website savvy!  I need to be able to post up to 6 payments for each member. I will be having online registration but manually entering in the other 4 payments myself.  I want  to be able to incorporate the USA hockey registration into the steps for registration on our website as well.

I am a bit confused as it looks like you have pasted multiple old support threads into this submission.  In the future, please do not do that as actual form programming gets embedded making it very difficult and sometimes impossible to use and reply.

Yes, we can add a fifth and sixth payment.  Yes, we can place USA Hockey process in the flow.

I looked at your module and it seems to use Authorize.Net for credit card processing.....not PayPal.  I see above that you pasted in some questioning about PayPal fees.  Best I can tell, you're not using PayPal.  Do you want to change from Authorize.Net to PayPal for processing this year?  We can do that with you, but you will lose the automation and will have to manually reconcile payments.  Please advise.  If you decide to use PayPal, please send us the PayPal email address so we can hook it into your registration module.

We will be upgrading you to our new online registration module.  I'll get that upgrade scheduled to occur next week.  We'll customize your registration module to function like last year except we'll add two more payment options and the USA Hockey process.  Is there anything else you need changed for this season?

Here's the info for the family to read and agree/confirm.

Medical Authorization & Liability Release:  I authorize ERYHA and /or their team physician to treat an injury to my child during their participation in ERYHA programs until our family physician be be contacted.  I hereby release the ERYHA, their agents and sponsors of any liability in the event of an injury of any kind or nature to my child.  I understand and appreciate that the risk of inquiry from hockey is significant, including the potential for permanent paralysis and death, while particular rules, equipment and personal discipline may reduce this risk and the risk of serious injury does exist.  By my child’s participation, I knowingly assume all risks, both known and unknown, Further, I have read, understand and agree to the Waiver of Liability, Release and Indemnity agreement as printed on the USA Hockey Form and confirm that the absence of my signature on that form is due only to administrative facilitation of my child’s registration.  I hereby give consent for USA Hockey and its member teams to provide my participating child with emergency medical care as warranted and associated with participant on a member team during a sanctioned event.  Picture Release:  I hereby authorize USA Hockey and its member teams to use my child’s name and/or photographic representation in the promotion of their program. Billing & Payments:  All of the registration fees are due at the time of registration along with any clinic and travel tryout fees.  The team fee will be payable in installments due on October 15, 2010, November 15, 2010, December 15, 2010 and January 15, 2011.  No registration will be accepted if there is an unpaid balance due from the previous years.  Those families with unpaid balances must pay the unpaid balance and all of this year’s fees (including team fees) at the time of registration.  There is a $25 fee for late team fee payments and a $100 late fee for registration after September 22, 2010. Residency Certification: I herby certify that the above address is my primary place of residence and it’s within the ERYHA school district boundaries.  If I rent I certify that I am living at the address as my primary residence.  I give ERYHA the right to immediately suspend my child’s participation if it is found at a later date that I have primary property/residence outside the ERYHA school district.  Address Release:  I authorize ERYHA to release my mailing address for the purpose of gaining knowledge of hockey programs, camps and leagues outside of the regular ERYHA season.  While ERYHA does not run Spring/Summer/Fall programs we would like all of our members to have knowledge of the program options available for their participation. I have read and understand the about stated policies and agree that I am responsible for the payment of all fees stated above.  I have read the above information and I can be held accountable for any false information provided. Everything looks good. We will have to figure out the multiple skater discount manually. Will you set it up to apply as the program is able? I will have to notify the families that this might not work the way it should, but hopefully they register in the right order!
